A power failure hits, the backup kicks in, and nothing works. We've seen it happen more than once.

Not because the backup system wasn't there, but because it hadn't been tested.

Battery backups degrade over time, and a system that was functioning perfectly when it was installed two years ago might not hold enough charge to keep your fire alarms, CCTV or access control running during an outage. The only way to know for sure is regular testing.

Backup systems are easy to overlook. Everything can look fine on a normal day, so it's assumed everything will be fine when it matters, and that's exactly where the risk lives.

For hospitals, schools, commercial sites and facilities managers, a security or fire system going dark, even if it's briefly, isn't just an inconvenience. It's a compliance issue, a safety risk, and potentially a very expensive one.

Most evacuation plans account for the most straightforward scenario. Everyone hears the alarm, leaves via the nearest exit, and assembles at the evacuation point 🚨

But what happens when it's not straightforward?

What happens when someone's in a disabled refuge area and there's no way to communicate with staff or the fire service? Or when a lift is out of service and a wheelchair user is on the third floor?

They're scenarios that can really happen, and they expose gaps that most evacuation plans simply don't address.

EVC systems, disabled refuge alarms and properly designed evacuation protocols exist specifically for these moments. They ensure that everyone in the building, regardless of mobility or location, can be accounted for and supported safely 🤝

During his placement, Lewis has been learning more about day-to-day life in an office environment and getting an insight into how different teams work together to help deliver fire and security solutions across the North East.

We've all heard a public address announcement 😬

"Could the parent of (a small child)… please make their way to the front of the store, thank you."

Half the store heard it, but nobody understood it. The child was probably fine but the PA system wasn't .

It's not so funny, though, when it's an emergency evacuation and nobody can make out the instructions.

The muffled announcement nobody could make out. The alarm that went off mid-meeting with no follow-up. The emergency message so distorted that people weren't sure whether to evacuate or not.

PA systems are one of those things that only get noticed when they don't work, and by then, the consequences can be severe. In a genuine emergency, a PA or voice alarm system has to deliver clear, intelligible instructions that help people respond quickly and safely. UK standard BS EN 60849 exists precisely because the speech quality in emergency systems is a life safety issue, not just an audio one. If people can't understand what's being said, they can't act on it.

Here's what poor PA systems actually cost organisations:

♦️ Delayed evacuations because instructions weren't clear

♦️ Staff uncertainty about whether an alert is real or a test

♦️ Compliance failures identified during fire safety audits

♦️ Reputational damage when incidents highlight system shortcomings

Disabled WC alarms are one of the most overlooked compliance risks we come across.

A lot of the time, they're installed, ticked off the list and then forgotten about. No regular testing, maintenance schedule, or record of when they were last checked, until an audit flags it or worse, until someone needs it and it doesn't work.

Under the Equality Act 2010 and BS 8300, organisations have a legal duty to ensure that facilities for disabled people are functional and accessible. A disabled WC alarm that isn't working isn't just a maintenance issue, it's a potential breach of those obligations and a serious safeguarding concern for anyone who relies on it.

The most common issues we find are:

♦️ Batteries that have failed or are running low

♦️ Pull cords that have been tied up out of reach

♦️ Reset buttons that aren't functioning correctly

♦️ No service history or inspection records on site

None of these are hard to fix, but they do need to be checked regularly and documented properly to demonstrate compliance.

It all starts with one lost key 🔑

Then a second one, and a third... And then a member of staff leaves and nobody's really sure how many copies are out there. A contractor's given access and the key they were given never comes back or a door's propped open because it's easier.

Physical keys are one of the most common and most underestimated security vulnerabilities in commercial buildings. They can't be tracked or deactivated remotely, and once they're gone, you have no way of knowing who still has access to your building.

Access control solves all of these problems.

With a modern system, access credentials can be instantly issued, amended and revoked. Every entry is logged, so you have a full trail of who accessed which area and when. Temporary access for contractors or visitors can be set to automatically expire, and if someone leaves the business, their access is removed in seconds, and no locksmith's required.

For hospitals, schools, universities, commercial sites and public sector buildings across the North East, access controls aren't just a security upgrade. It's a smarter and more manageable way to run a building.

Most businesses choose physical keys over access control because they seem like the cheaper option. When you add everything up, they rarely are 🤷

The benefit usually outweighs the cost when comparing the two.

The cost of physical keys:

According to industry locksmith data, standard commercial lock changes in the UK start at around £100 per lock, with high-security or complex systems being priced significantly higher. For example, a building with 20 doors, a single security incident involving lost or unreturned keys could mean a rekeying bill starting from £2,000, and that's before factoring in the time, disruption and any temporary security measures that would be needed while the work's carried out.

Churchill Home Insurance research found that the most commonly reported lost items to the police are keys. For organisations with a lot of staff, contractors and visitors going in and out of their buildings, the total cost of replacement, rekeying and administration quickly adds up.

And there's the hidden cost nobody talks about: the security risk of not knowing who has a copy of your keys. There's no audit trail or way to remotely deactivate access or record of who entered and when. If a key ends up in the wrong hands, you have no way of knowing until something goes wrong.

The cost of access control:

A professionally installed access control system typically starts from around £500 to £1,500+ per door, depending on the tech and specification. For most commercial buildings, the full system cost is recovered within the first few years through the elimination of rekeying costs alone, before the security, compliance and operational benefits are even factored in.

Beyond the price:

With access control, you get a full audit trail of every entry, instant credential revocation when staff leave, temporary access for contractors that expires automatically, and a system that integrates with CCTV and intruder alarms for complete site visibility. The question isn't whether you can afford access control, it's whether the ongoing cost of keys is actually the saving it appears to be.
