Primary purpose of the role
The Administrative Officer is responsible to provide administrative support to the Provincial Advisory Council, the Provincial Control Centre and the Secretariat. Some duties include inventory management, organizing Task Force records, roster scheduling, budget and office reporting, invoicing and customer service.

Responsible for performing clerical and administrative duties in an office setting including outside liaison.

Key accountabilities
 Answer phones and greet clients warmly.
 Assist in filing duties.
 Perform basic bookkeeping duties.
 Compile financial records.
 Perform stenography and dictation.
 Reroute calls to appropriate people.
 Answer inquiries about company.
 Help organize office activities.
 Prepare coffee or get water for staff.
 Insert bills in envelopes and mail.
 Hang up company policies around the office.
 Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.
 Retrieve files for personnel.
 Take and deliver messages.
 Sort and distribute incoming mail.
 Fix malfunctioning office equipment.
 Count or measure mail.
 Handle travel arrangements and expense reports for staff.
 Schedule meetings and conference rooms.
 Call IT for computer assistance.
 Post work schedules.
 Perform data entry.
 Prepare payroll checks.
 Restock supply closet with printing paper, ink, pens, paper clips, staplers, files and folders, and correction fluid.

Primary Purpose of the role
Assist in setup, configuration and maintenance of all secretariat servers, desktops, mobiles, hardware, systems and applicants. Assist in hours users on all aspects of IT support. Manage all secretariat backups and assist in disaster recovery process. Help develop and maintain IT documents, processes and procedures.
KEY ACCOUNTABILITIES
 Monitor and maintain servers, desktops, mobiles, hardware, systems and applications including email system including creating and modifying accounts.
 Administer and maintain cloud storage options.
 Ensure printers, photocopies and other devices are properly configured and functioning.
 Identify technical problems and solve them directly or refer as appropriate.
 Proved first and second level user support and simple training on basic computing skills, office software features, social media platforms and smartphones and tablets.
 Provide support to meetings, events, conferences.
 Maintain common office software and ensure that virus scanning software is kept up to date on all devices.
 Maintain contact with ITC vendors.
 Monitor stock of ICT consumables.
 Perform basic programming task such as creating and updating MS Office templets (i.e. forms).
 Assist with data collection with GPS, undertake cartography, database management, spatial analysis, remote sensing and business development.
 Update official social media platforms.
 Perform photography, video and basic reporting on events, functions, news, travels and developments.
 Developments of ‘digicen’ (Digital Citizen) concept in consultation with the Executive Office and ICT vendors.
Requirements
 Well rounded, tech – savvy individual.
 Good Knowledge of microcomputer operations, windows-based networking environment, windows-based office and desktop applications, basic telecommunications technologies and internet-based protocols.
 Competency in MS Office Suite, databases and office equipment software
 Hands on experience with research and analysis.
 Certain level of Geographic Information System (GIS) knowledge. With use of open source software like Autodesk, AutoCAD, QGIS, GRASS AND PCI.
 Familiarity with social – media applications and platforms including multi-media exposure.
 Higher School Certificate IV in ICT/IT.
 Diploma in Information Systems/Computer Sciences or relevant certification is a plus

Primary purpose of the role
The Accounting Clerk responsibilities include keeping financial records updated, preparing reports and reconciling bank statements. And also run accounting software programs to process business transactions, like accounts payable and receivable, disbursements, expense vouchers and receipts. A successful accounting assistant should be familiar with all accounting procedures and have a flair for numbers.

Accounting Clerk will ensure that the Task Force’s daily accounting functions run accurately and effectively.

Key accountabilities
 Provide accounting and clerical support to the Provincial Advisory Committee, the Provincial Control Centre and the Secretariat.
 Type accurately, prepare and maintain accounting documents and records
 Prepare bank deposits, general ledger postings and statements
 Reconcile accounts in a timely manner
 Daily enter key data of financial transactions in database
 Provide assistance and support to Task Force personnel
 Research, track and restore accounting or documentation problems and discrepancies
 Inform management and compile reports/summaries on activity areas
 Function in accordance with established standards, procedures and applicable laws
Requirements
 Proven accounting experience, preferably as an Accounts Receivable Clerk or Accounts Payable Clerk
 Familiarity with bookkeeping and basic accounting procedures
 Competency in MS Office, databases and accounting software
 Hands-on experience with spreadsheets and financial reports
 Accuracy and attention to detail
 Aptitude for numbers
 Ability to perform filing and record keeping tasks
 Data entry and word processing skills
 Well organized
 Higher School Certificate, Certificate IV in Accounting/Bookkeeping
 Diploma in Accounting or relevant certification is a plus
Reporting
 Consults with the Executive Officer and Reports to the Deputy Provincial Administrator who is charged with Financial oversight of the COVID-19 funds.

Primary purpose of the role
The Executive Officer provides a range of high level executive, secretariat, and project support services to the Provincial Advisory Council, the Provincial Control Centre and the Secretariat including providing strategic advice, managing communications and implementing strategies to support the achievement of the Task Force’s strategic and operational objectives.
Key accountabilities
 Prepare, manage and review the provision of high level communications and correspondence including briefings, reports, submissions and notes to ensure the comprehensiveness, accuracy, and timeliness of written information
 Act as the Executive point of contact, liaise with stakeholders and action requests to coordinate communication and proactively ensure responses meet deadlines
 Implement, monitor and report on strategic, operational and project plans to inform decision making and support achievement of Task Force’s objectives
 Research and prepare strategic advice, information and reports on diverse and complex policy, planning and operational matters to facilitate informed decision making and planning
 Provide issues management and support, responding to emerging issues to ensure effective resolution with minimal risk to the Task Force
 Lead and/or contribute to projects/operations to support the achievement of Task Force level strategic and operational objectives
 Develop and oversee the implementation and evaluation of administrative practices, systems and procedures to optimise efficiency and support the achievement of quality outcomes Key challenges
 Anticipating and addressing contentious issues and providing accurate advice on complex issues and legislation, often within tight timeframes, given the need to collect and assimilate information from a variety of different sources whilst maintaining confidentiality and exercising diplomacy

HEALTH AUTHORITY PREDICTED PEAK IN COVID-19

Health authorities are predicting a second peak in COVID-19 cases between November and December with an expected surge, especially with the flu going around.
Incident Manager at the National Control Centre Dr. Daoni Esorom warned last night that Papua New Guinea is sitting on a time bomb if people continue to ignore preventative health measures.

Dr. Esorom warned people on NBC's COVID-19 Talkback program to start listening because there are many people in PNG with TB, diabetes, and hypertension among other underlying medical conditions.

He said the peak is picking up with new cases recorded especially in West New Britain Province in the last 24 hours, among them frontline health workers.

Dr. Esorom said a team of Health Department and World Health Organisation officials has flown to Kimbe, while resources like ventilators, oxygen concentrators, and PPEs are being mobilized in Port Moresby to be sent over this week.

He's encouraging PHAs to do more testing to identify cases, manage and isolate them properly in order to stop further spread.

Tribute

It is with heartfelt regret that the WSP COVID-19 Secretariat wish to notify all on the passing on of Ms. Judith Series in Wewak on Friday 9th October 2020.

Ms. Series was a key player in our Provincial COVID-19 Exercise since the State of Emergency through to the National Pandemic Act 2020 period.

As part of the Aitape Lumi District COVID-19 Team, inside the Provincial COVID-19 Web, she assisted the District Administration put in place a workable structure and ensured the District COVID-19 Response functioned.

Aitape Lumi was shoulder to shoulder with the Provincial Coordination, at times so good that one would think Aitape Lumi was a Province of its own. Thanks to a great district team under a capable administration and exemplary political leadership. Judith Series was a key player.

Judith also feed the Surveillance and Enforcement Response with credible intelligence on activities of interest as Aitape was a staging zone.

Apart from COVID-19, Judith was a voice for development too. Capturing news and photographs of development agendas and issues experienced in the District. Feeding the mainstream media and social media to draw attention to simple people's concerns.

The COVID-19 Control Center, have come to know and network with many very capable individuals in the Provincial Administration, District Administration, National Agencies and Stakeholders. Judith was one.

Gone to soon comrade. News of your passing is too much to bare.

Your services to the District, Province and country when we were in a critical period in history will be remembered as long as we breathe.

Going through your emails, text messages, WhatsApp and Social Media posts including news media articles makes us refuse to believe you left us.

The Provincial COVID-19 Coordination has lost one invaluable individual.

Laid to rest in eternal peace on Sunday 15th November 2020 at Mani village, Wewak, East Sepik Province. We will always treasure you.
