The Resident Services Assistant provides administrative, programmatic, and operational support to the Director of Resident Services and the Resident Services Department. This position assists with resident programs, community outreach activities, grant-related initiatives, data collection and reporting, and resident communications. The Resident Services Assistant serves as a key point of contact for residents, community partners, and service providers while helping ensure the efficient delivery of services that support resident self-sufficiency, education, wellness, and community engagement.
The position requires strong organizational skills, attention to detail, professionalism, and the ability to interact effectively with residents from diverse backgrounds. Occasional evening and weekend hours may be required to support resident programs, events, meetings, and community activities.

Essential Duties and Responsibilities
Administrative Support
• Provide administrative support to the Director of Resident Services and Resident Services Department.
• Answer and direct telephone calls, emails, and walk-in inquiries.
• Prepare correspondence, reports, presentations, meeting agendas, and meeting minutes.
• Maintain organized electronic and physical filing systems.
• Schedule appointments, meetings, resident workshops, and community events.
• Assist with procurement, supply inventory, and departmental recordkeeping.
• Coordinate resident communications, flyers, newsletters, and program announcements.
Resident Services Support
• Serve as an initial point of contact for residents seeking information on available services and programs.
• Assist residents with completing applications, forms, surveys, registrations, and referrals.
• Coordinate resident participation in educational, workforce development, health and wellness, youth, senior, and family support programs.
• Maintain confidentiality of resident information and records.
• Assist with outreach efforts designed to promote resident engagement and participation.
Data Collection, Reporting, and Compliance
• Collect, track, and maintain program participation data and outcomes.
• Assist with preparing monthly, quarterly, annual, and grant-required reports.
• Monitor resident service performance metrics and maintain accurate databases.
• Compile information to support agency reporting requirements, audits, and program evaluations.
• Assist in conducting resident surveys and analyzing results.
• Support compliance with HUD requirements, grant agreements, and agency policies.
Grant and Program Support
• Assist with research and gathering information for grant applications and funding opportunities.
• Support grant writing and proposal development activities.
• Maintain documentation required for grant-funded programs.
• Track program expenditures and assist with grant reporting requirements.
• Coordinate with community partners, educational providers, healthcare organizations, and nonprofit agencies to support funded initiatives.
Community Outreach and Partnerships
• Assist with planning, organizing, and implementing resident events, workshops, and community activities.
• Represent the Resident Services Department at meetings, outreach events, and community functions as assigned.
• Develop and maintain positive relationships with community organizations and service providers.
• Coordinate volunteer activities and community partnerships that benefit residents.
General Responsibilities
• Attend departmental, agency, community, and partner meetings as required.
• Assist with special projects and initiatives.
• Maintain a professional work environment and positive customer service attitude.
• Support agency-wide goals, strategic initiatives, and resident-focused programs.
• Perform other duties as assigned.

Minimum Qualifications
Education and Experience
Required:
• Bachelor's degree in Social Work, Human Services, Sociology, Psychology, Education, Public Administration, or a closely related field;
OR
• Associate degree and at least three (3) years of progressively responsible administrative support, resident services, case management, social services, nonprofit, housing, or community services experience;
OR
• Equivalent combination of education, training, and extensive experience in administrative support, resident services, case work, or human services.
Preferred
• Experience working with affordable housing programs, public housing, HUD-funded programs, or nonprofit organizations.
• Experience supporting grant-funded programs or grant administration.
• Experience collecting and reporting program outcome data.
• Bilingual abilities are desirable.

Knowledge, Skills, and Abilities
• Knowledge of social service programs and community resources.
• Excellent verbal and written communication skills.
• Strong organizational and time-management skills.
• Ability to work with residents, community partners, and staff in a professional and respectful manner.
• Ability to handle confidential information with discretion.
• Strong customer service and interpersonal skills.
• Ability to collect, analyze, and present data accurately.
• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
• Ability to learn agency software systems and databases.
• Ability to manage multiple priorities and meet deadlines.
• Ability to work independently and as part of a team.

Physical Requirements
• Ability to sit, stand, walk, bend, and lift materials weighing up to 25 pounds.
• Ability to travel locally for meetings, events, and outreach activities.
• Ability to operate standard office equipment.

Working Conditions
• Primarily performed in an office environment with regular interaction with residents and community partners.
• Frequent attendance at resident meetings, workshops, and community events.
• Occasional evening and weekend work may be required.
• Local travel may be required to support agency programs and activities.
