Position Summary
The Sheriffâs Office Administrative Assistant is responsible for overseeing the daily administrative operations of the Sheriffâs Office. This position provides professional support to the Sheriff, Undersheriff, deputies, and the public by managing records, purchasing, reporting, scheduling, records retention, CJIS compliance, and general office operations. The Administrator serves as a key point of contact between the Sheriffâs Office, county departments, outside agencies, and the community while ensuring confidentiality, professionalism, and efficient office management.

Essential Duties and Responsibilities
⢠Manage day-to-day administrative functions of the Sheriffâs Office.
⢠Prepare, maintain, and organize confidential records, reports, correspondence, and files.
⢠Maintain records management systems and oversee records retention in accordance with agency policy and Colorado law.
⢠Assist with CJIS compliance requirements, audits, security protocols, and related documentation.
⢠Maintain personnel files, training records, certifications, and compliance documentation.
⢠Assist with public records requests in accordance with Colorado law and agency policy.
⢠Answer phones, assist the public, and direct inquiries appropriately.
⢠Coordinate scheduling, appointments, and training registrations.
⢠Maintain office inventory, supplies, and equipment purchases.
⢠Enter and maintain accurate data within records management systems and county databases.
⢠Work cooperatively with courts, dispatch centers, county administration, outside law enforcement agencies, and community organizations.
⢠Maintain strict confidentiality regarding criminal justice information, personnel matters, and sensitive investigations.
⢠Perform additional administrative duties as assigned by the Sheriff or Undersheriff.

Knowledge, Skills, and Abilities
⢠Strong organizational and time-management skills.
⢠Ability to maintain confidentiality and exercise discretion.
⢠Knowledge of office management procedures and modern administrative practices.
⢠Knowledge of records management, records retention requirements, and CJIS compliance standards preferred.
⢠Proficient in Microsoft Office programs including Word, Excel, Outlook, and PowerPoint.
⢠Ability to prepare professional reports, letters, and official documents.
⢠Strong verbal and written communication skills.
⢠Ability to work independently and prioritize multiple tasks in a fast-paced environment.
⢠Ability to interact professionally with the public, county officials, courts, and law enforcement personnel.
⢠Ability to learn and use law enforcement software systems and databases.

Minimum Qualifications
⢠High school diploma or GED required.
⢠Prior administrative or office management experience preferred.
⢠Valid Colorado driverâs license or ability to obtain one.
⢠Ability to pass a background investigation.

Physical Requirements
