continue to scale, we are seeking a highly organised and reliable Company Administrator to
strengthen our internal operations, support staff coordination, and ensure smooth day-to-day
functioning of the business.
Role Overview
The Company Administrator will provide essential administrative, communication and operational
support across the organisation. This role is central to the efficient running of Inspire Care and
will work closely with the Directors, Chief of Staff and Supervisor to ensure that staff, processes,
and information flow seamlessly. The ideal candidate is calm under pressure, extremely
organised, adaptable, and capable of juggling multiple deadlines in a fast-paced social-care
environment.
Key Responsibilities
1. General Administration
• Provide daily administrative support to the Directors and wider leadership team.
• Manage and maintain staff records, folders and internal documentation.
• Draft, format and distribute letters, memos, templates and company-wide
communications.
• Oversee shared inboxes, ensuring timely responses and escalations.
• Support the preparation of reports, compliance files and operational trackers.
2. Meeting & Diary Management
• Schedule and coordinate internal and external meetings, including team check-ins,
supervisions and compliance briefings.
• Manage the Director’s diary and ensure all meetings have the required documents,
attendance lists and context.
• Prepare agendas, take meeting minutes and circulate action logs.
• Follow up on actions to ensure tasks are completed promptly.
3. Staff Communication & Group Management
• Manage staff WhatsApp groups and other communication channels.
• Disseminate rota updates, policy reminders, shift notices, safeguarding alerts and urgent
internal messages.
• Support onboarding by adding new staff to systems, groups, rotas and communication
platforms.
• Maintain up-to-date staff contact lists, caseload lists and team distribution groups.
4. Operations & Compliance Support
• Track and monitor compliance documents — DBS checks, mandatory training,
certificates, licences and renewals.
• Maintain logs for staff expiries, training due dates and compliance status for audits.
• Liaise with external partners, training providers, suppliers and contractors.
• Support staff training sessions, team meetings and internal development sessions.
5. Systems, Data & Filing
• Maintain structured digital filing systems on Google Drive or SharePoint.
• Support data entry, audits and weekly operational summaries.
• Ensure secure handling of sensitive information per GDPR and Inspire Care policies.
• Run reports, trackers and logs to support leadership decision-making.
6. Ad-Hoc Operational Support
• Assist in urgent operational tasks, sometimes at short notice.
• Support shift coordination when required.
• Help with preparing handover documents, incident logs and safeguarding paperwork.
Skills & Attributes – Essential
• Highly organised, structured and detail-oriented.
• Able to work under pressure with competing deadlines.
• Excellent written and verbal communication skills.
• Strong digital proficiency (Google Workspace, MS Office, calendars, spreadsheets).
• Discreet, trustworthy and capable of handling sensitive information.
• Proactive, independent worker with strong initiative.
• Professional communicator across a diverse staff team.
Skills & Attributes – Desirable
• Previous administration experience in a social-care, education or health setting.
• Understanding of compliance expectations within supported accommodation, care
homes and other social sector specialties.
• Familiarity with rota systems, safeguarding language and incident management.Full uk driver license.
