The Warlingham Village Hall is seeking a Village Hall Assistant Secretary to join the Management Committee
Overview of Warlingham Village Hall
The land was purchased, and the hall built and managed originally as a workingmen’s club and gradually, as committees and uses changed, it became the Village Hall. It is still run by a management committee who are, as a unit, the trustees and entirely responsible for the hall. Should the committee cease to exist the Custodian Trustees are Warlingham Parish Council and would take on responsibility for the building and land.
Salary:
£400 per annum paid £100 quarterly.
Duties & Responsibilities
o To ensure that committee meetings are properly convened and administered. Usually there are four meetings per year, one taking place immediately following the AGM.
o To ensure other meetings, such as the AGM, and events are properly convened and administered.
o Keep membership records up to date.
o Monitor committee member action points.
o Plan and prepare the committee meetings and the AGM with others as appropriate.
• Planning meeting dates, booking rooms, sending out notifications, minutes and other papers.
• Drawing up agendas together with the Chairman.
o Minute committee meetings or ensure that another minute taker is available. In the case of closed meetings (with no others present) the secretary will take the minutes.
o Accurately record decisions and actions in the minutes and report to the next committee meeting on the progress of actions and the result of decisions.
o Maintain accurate and up to date membership records, issuing renewal notices and recording subscription/membership fees together with the treasurer.
o Deal with correspondence, writing letters/emails as agreed at committee meetings, summarising correspondence/emails received at the next committee meetings and drafting replies as appropriate.
o Make arrangements for any necessary reporting to be done. For example, the annual report to members.
Person Specification
o To be organised and methodical
o Able to take good minutes.
o Able to keep accurate records.
o Has the relevant skills to organise a meeting well.
