1. Administrative Aide I - Academic Section (USTP Alubijid)
Job Summary:
The Office Clerk for the Academic Section will provide comprehensive administrative and clerical support to ensure the efficient implementation of academic programs and services. The position requires assisting the Section Head in the management, preparation, and submission of documentary requirements to concerned offices and regulatory agencies, as well as consolidating documentary deliverables submitted by Department Heads. The Office Clerk will play a key role in maintaining accurate records, facilitating effective communication, and ensuring that all documentary and logistical requirements of the Academic Section are completed in a timely and organized manner.
Functions and Responsibilities:
1. Organize, file, and maintain accurate physical and digital academic records, including curriculum documents, syllabi, class schedules, minutes of meetings, and academic reports.
2. Assist the Section Head in the preparation, consolidation, and submission of academic-related documentary requirements to concerned offices and regulatory agencies.
3. Receive, review, and track documentary submissions from Department Heads and faculty members to ensure completeness and compliance with prescribed formats and deadlines.
4. Prepare minutes of meetings, including documentation of discussions, decisions, and action items, and ensure timely dissemination to concerned parties.
5. Route incoming and outgoing academic communications and documents for review, approval, and signature.
6. Prepare, encode, and update academic reports, summaries, memoranda, and official correspondence as required.
7. Provide logistical and clerical support during academic meetings, evaluations, trainings, and other academic-related activities.
8. Maintain databases and monitoring tools for academic deliverables, compliance requirements, and submission timelines.
9. Ensure confidentiality, accuracy, and proper handling of official academic records and documents.
10. Perform other academic-related duties as may be assigned by the Section Head or higher authorities.
