Use the salutation based on the gender of the addressee:

• Indicate the actual date the letter will be submitted or sent.

STEP 2: Addressee Information

Provide complete company details:
• Name of the Addressee – Full name of the company representative
• Designation / Position – Official job title
• Company Name – Complete company name
• Company Address – Full business address

STEP 3: Salutation (Sir / Ma’am)

Use the salutation based on the gender of the addressee:
• Male addressee: Sir:
• Female addressee: Ma’am:

Use only one, not both, if the gender is known.
