Freestone County Sheriff's Office is taking applications for the position of Records Clerk/Administrator.
This position is responsible for maintaining, processing, and safeguarding official law enforcement records. This position plays a critical role in our office and for the public by ensuring accuracy, compliance with state laws, and timely handling of sensitive information.
Key Job Duties:
* Public Information Requests (In accordance with the Texas Public Information Act – TPIA):
Receive, log, and process public information requests in compliance with the Texas Public Information Act (TPIA).
Review requested records for confidentiality, redactions, and legal exemptions under state and federal law.
Coordinate with supervisors, investigators, and legal counsel when necessary to ensure proper release or withholding of information.
Prepare documents for release, including redacting sensitive information such as personal identifiers and protected law enforcement data.
Maintain detailed records of requests, responses, timelines, and correspondence to ensure statutory compliance.
Ensure all deadlines mandated by TPIA are met and documented.
* Civil Papers:
Process, track, and maintain civil documents including subpoenas, summons, writs, protective orders, evictions, and other court-issued papers.
Enter civil process data into records management systems accurately and in a timely manner.
Coordinate with Deputies regarding service of civil papers and maintain status updates on pending and completed services.
Maintain organized files of all civil documents in accordance with retention policies and legal requirements.
Ensure proper documentation of service attempts, completions, and returns.
* Warrants:
Enter, update, and maintain warrant information in local, state, and national databases (e.g., TCIC/NCIC).
Verify the accuracy and validity of warrants before entry or confirmation.
Process warrant recalls, cancellations, and updates as directed by the courts or authorized personnel.
Respond to inquiries from law enforcement agencies regarding warrant status.
Maintain strict confidentiality and accuracy due to the legal implications of warrant records.
Assist in auditing warrant files to ensure compliance with agency standards and legal requirements.
* Additional Responsibilities:
Provide customer service to the public, both in person and via phone, in a professional and courteous manner.
Assist with general records management, filing, data entry, and report retrieval.
Maintain confidentiality of sensitive and criminal justice information at all times.
* Perform other duties assigned to support the operations of the Sheriff’s Office.
Qualifications:
High school diploma or equivalent required.
Experience in clerical, administrative, or law enforcement records preferred.
Knowledge of the Texas Public Information Act and criminal justice systems is a plus.
Strong attention to detail, organizational skills, and ability to multitask.
Ability to handle confidential information with integrity and professionalism.
Proficiency in computer systems and data entry.
