Travelgram 22-012: Increase on DoD Travel Volume and Impact on SATO
Team Travel,
Forwarding a recent advisory from DTMO with a few Navy Reserve-specific edits. This will come as no surprise to many travelers who have experienced headaches lately, but it does serve to manage expectations and level collective understanding as we approach the summer travel surge:
As travel begins to approach pre-pandemic levels, the travel industry is experiencing challenges related the sudden surge in travel, including changes to airline schedules, cancellations, and staffing shortages. Unfortunately, these challenges are resulting in an increase in demand for Travel Management Company (TMC) assistance. The Travel Assistance Center (TAC) is seeing an influx of calls related to requests for TMC assistance, and the Services and Agencies are reporting extended call wait times when contacting TMCs. To address this issue, the Defense Travel Management Office has engaged both the TMCs and the TAC to address the extended wait times being experienced across the Department.

[N33 Note 2: If NROWS-related DTS travel is involved and DTS is the issue, SELRES customers are encouraged to contact the NROWS/DTS Enterprise Helpdesk 24/7 at 1-800-537-4617 (Option 1) or by email at [email protected] for much more responsive and accurate customer service than the TAC can offer for imported documents. Our average call wait times remain only 1-2 minutes.]
There are several actions travel managers and travelers can take to help with the higher than normal [SATO] call volume including:
1. Utilize [SATO] Live Chat functionality. Some TMCs have a desktop or mobile live chat tool that allows travelers to connect with an online agent to handle simpler requests like cancelling a trip or requesting an invoice copy. Often simpler issues can be handled faster through a TMC chat session than it can by calling directly.

2. Book travel and approve authorizations in a timely manner. Booking and/or approving travel more than a day or two in advance of travel minimizes the risk of having flights and/or fares becoming unavailable resulting in the need to rebook or contact [SATO]. Encourage travelers to book as far in advance as possible.
o [N33 Note 4: RPDs, NROWS routers and fund approvers play a critical role in this. The Sailor canβt even start to arrange travel in DTS so long as the NROWS order remains unapproved.]
3. Ensure [GTCC] cards are activated. Travel cards that are deactivated or have insufficient credit limits result in card declines and increase calls to [SATO]. Work with your [NRAβs] travel card Agency Program Coordinator to ensure [GTCCs] are activated and have a sufficient credit limit prior to booking travel.
4. Allow 24 hours for your DTS authorization to be worked/ticketed. Only contact [SATO] after your DTS request has been in βCTO Submitβ status for more than 24 hours. Also, please keep in mind that the Travel Assistance Center is unable to assist with new reservations, βTMC assistβ requests, and reservation cancellations or ticketing. The TAC [or the NROWS/DTS Helpdesk for documents imported from NROWS] can assist with authorization routing after ticketing or voucher questions.
The Defense Travel Management Office will continue monitor the call volume and wait times for both the TAC and TMCs. We will send a Customer Service Notification to DTAs/AOs with the above recommended actions. We also encourage travel managers to continuously submit feedback on TMC services to your respective TMC Contracting Officer Representative (COR).
