The Ozark Police Department is taking applications for a Records Clerk. Applications can be picked up at the Ozark Police Department Monday through Friday 8:30am to 4:30pm.
JOB DESCRIPTION
TITLE: Records Clerk
DEPARTMENT: OZARK POLICE DEPARTMENT
SPECIFIC JOB DUTIES AND RESPONSIBILITIES:
• Provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of his or her own team), and have regular and reliable attendance that is non-disruptive.
• Works with confidential information and documents pertaining to criminal investigations such as police investigation reports, affidavits, search warrants, arrest warrants, cases and reports involving or concerning juveniles, orders of protection, no contact orders, evidence notes, documents, and statements; evidence pictures and videos; crime lab evidence submissions and results, criminal history records, driving history records, and etc.
• Collect monies and issue receipts for tickets, reports, fines, and other payments and applies to appropriate account.
• Keep accurate financial records of all monies received by mail, in person or from the jail.
• Sort, file, copy and distribute crime reports, traffic reports, citations, petitions, and other materials to appropriate personnel.
• Assist Department personnel and the public in person and by phone include retrieving information and files, mailing requested reports to outside agencies in accordance with established regulations, and providing general information regarding Department policies, procedures and regulations.
• Collects and prepares documents for arrests and citations; forwards documents to appropriate department, unit, prosecutor, and court; indexes a wide variety of violations, notifications, and complaints.
• Performs a variety of customer services functions applicable to records release and maintenance, including receiving, responding to, and entering requests for police and accident reports and screening and forwarding telephone calls.
• Maintains and updates records according to established policies and procedures, including indexing a wide variety of violations and notifications, tracking and filing reports, redacting confidential information when required; purges records and files as required.
• Performs a variety of reception, administrative support, and clerical duties, including answering and directing telephone calls and calls for service, preparing prosecutor packages, and distributing incoming mail; sorts, files, copies, and distributes a variety of documents; maintains a variety of filing systems.
• Operates a variety of office equipment including telephone, adding machine, computer, printer, facsimile, document scanner, calculator, paper shredder, and dispatch radio.
• Delivers police documents and records to other local agencies, county courthouse, and state agencies.
• Complete background checks either verbally or in writing as requested.
• Verify weekly case logs and accident logs to make sure all reports are turned in.
• Review reports, type subpoenas and court orders, and gathers documents needed for trials.
• Request certified court judgments for any prior convictions listed on ACIC records.
• Obtain certified copies of drivers’ license for any defendant on trial for driving offenses.
• Manually review all criminal and traffic citations, to make sure they are entered into the court system correctly before taking them to district court.
• Answers “motions for discovery” made by defense attorneys.
• Forwards copies of accident reports to insurance companies when requested and receipt the payment.
• Prepare a jail report every Monday, Wednesday, and Friday for any individual in jail that needs to see the judge.
• Make sure all juvenile reports are forwarded to DHS and the juvenile officer.
• Keep current records of all radar equipment and daily test logs.
• Review and reconcile payments on a monthly basis.
• Keep records of all credit card payments taken by court solutions and receipt the money into the correct defendant case when the check arrives.
• Notarize official documents such as affidavits, reports, and other papers.
• Attends court proceedings and trials, documents dispositions of cases.
• Performs other duties as assigned.
SPECIAL KNOWLEDGE,SKILLS ABILITIES OR EDUCATION:
• High school diploma or GED.
• Be a Citizen of the United States; Not less than 18 years of age; Must not have a felony conviction.
• Valid Driver's License.
• Successfully pass background investigation, which may include a polygraph examination, credit history report, drug screen, physical and mental evaluation.
• The records clerk answers telephones, helps visitors fill out police forms and answers public requests for information. Because a police records clerk can be the public face of a police department, he or she needs good interpersonal skills, including patience and the ability to listen.
• Effectively communicate with others orally and in writing.
• Must be proficient in the use of a personal computer and other related software programs. Must be able to effectively operate standard office equipment.
• Must obtain and keep an Arkansas Crime Information Center level II certification and a Criminal Justice Security clearance.
• Must have good attendance and strong work ethic.

Approximate Salary range $25k to $35k per year.
