One of my recent apostille appointments took me to the Oklahoma Secretary of State to help a client get their University of Oklahoma diploma apostilled for use in Austria. 🇦🇹

One of the things I enjoy about processing apostilles is seeing how each state designs its certificate. Massachusetts definitely stands out. The attention to detail, the ribbon, and the overall presentation make it one of the most beautiful apostille certificates I’ve seen.

Not every “online notarization” is actually a valid Remote Online Notarization.

This is one of the biggest issues I encounter when reviewing documents for apostille services.

Many people believe that signing a document through DocuSign or another electronic signature platform and having a notary add their seal afterward is the same as a Remote Online Notarization. It isn’t.

A valid Remote Online Notarization must be completed by a notary who is properly commissioned to perform remote notarizations (where required by state law) using an approved Remote Online Notarization platform. These platforms include identity verification, secure audio and video technology, and an electronic notarial certificate that complies with state law.

When these legal requirements aren’t followed, the notarization may be invalid. If the document is later submitted for an apostille, it can be rejected, resulting in unnecessary delays, additional expenses, and the need to start the process over.

If your documents will be used internationally, verify that you’re working with a qualified Remote Online Notary from the very beginning. Doing it correctly the first time can save you significant time and frustration.
