It is official. SignaFlex now handles apostilles.

An apostille is the certificate that makes a Texas document legally
recognized in another country. Birth certificates, powers of attorney,
diplomas, adoption paperwork, corporate filings.

Here is what most people find out the hard way. A notarization and an
apostille are not the same thing. If your document is crossing a border you
usually need both, in that order, and getting it wrong costs six weeks.

Do not sign the documents before the notary gets there.

I know it seems helpful. You are trying to save time, get a head start, have everything ready. I understand the instinct.

But a notarization requires that the notary actually witnessed the signature. If I did not see you sign it, I cannot notarize it, and we have to start that page over.

While I am at it, the other four that stall closings:

Expired ID, or a name that does not match the documents. Middle initials count.
A missing spouse. In Texas they often have to sign even when not on the loan.
Blank fields left in the document.
Wrong notarial wording on the certificate.

Five minutes of checking the day before saves everybody an afternoon.

A will only matters after you die.

That surprises people, but it is the whole point. A will has no power while you are alive. It does nothing if you are in a hospital bed and someone needs to make a decision for you.

The documents that cover that situation are different ones. Medical power of attorney. Durable power of attorney. Directive to physicians. Declaration of guardian if you have kids.

Those four are what a family actually needs in the moment things go wrong, and most people do not have them.

Texas notarization is $10 per signature by statute. The whole set takes about twenty minutes at your kitchen table.

Public service announcement for anyone dealing with international paperwork this fall.

A notarization and an apostille are not the same thing.

A notarization says a real notary watched you sign. An apostille says that notary was genuinely commissioned by the state, in a format other countries agree to accept.

If you are sending documents to Mexico, India, the Philippines, Nigeria, China, or most of Europe, you almost certainly need both, in that order.

The mistake I see most often is people paying for the notarization, mailing the document, and finding out six weeks later that it was never going to be accepted.

Ask before you mail. It costs nothing to ask and it saves a month.

Apostille tip nobody tells you before you order.

Apostilles only work for countries that signed the Hague Convention. Send one to a non-Hague country and your document is worthless.

Before you spend money on an apostille, verify the receiving country accepts them at hcch.net. Takes 30 seconds. Saves you weeks.

A closing coordinator called me yesterday asking if I could handle a Friday afternoon signing for a first-time homebuyer.

Documents were 47 pages. Borrower had a hearing impairment and needed the notary to speak clearly and slowly, face the borrower directly, and pause frequently.

Standard package would have taken 45 minutes. This one took 90.

That is fine. This is service work. When the borrower needs a slower, clearer, more patient signing — the notary either provides it or gets replaced by one who does.

Closed. Signed. Uploaded to the title company. Borrower texted me the next morning to say she felt genuinely respected during the process.

That is the whole business right there.

A question I get from almost every new client: "Can you come same week?"

Usually yes. SignaFlex runs Monday through Friday with flexible early and late hours — 7 AM to 7 PM — built specifically so a same-week or same-day appointment is the norm, not the exception.

The three most common notary mistakes I see when I get called in to fix another notary's work:

1. Missing or incorrect notarial certificate. The document had a signature line but no proper acknowledgment or jurat wording. The notary stamped it anyway. Now the document has no legal effect and the parties have to redo everything.

2. Improper ID verification. Notary accepted an expired ID. Or accepted a photocopy. Or notarized for someone whose name did not match the ID. Every one of these can void the notarization and expose the notary to civil liability.

3. Notarizing without the signer present. Someone dropped off pre-signed documents and asked the notary to add the seal. Some notaries do it. Every state — including Texas — requires the signer be physically present (or on a Texas-compliant RON session). No exceptions.

None of these are hard rules to follow. But when a notary is trying to squeeze in one more signing before the end of the day, corners get cut.
